Narrative outlining the data collection process used in the preparation of this report:
  1. Concordia's Office of the Vice-President of Services and Sustainability sent out an email to all the directors in their sector well before data contacts were identified or contracted to ensure that all team were aware of the importance of participating in STARS. 
  2. STARS Coordinator reviewed the STARS 3.0 Credit Checklist and ensured all contacts were identified for not only every credit, but specific indicators and/or reporting fields. One data contact may not have been able to provide data for an entire credit, but just a specific indicator or reporting field.
  3. Using AASHE's "Tracking Worksheet",  individual worksheets were prepared for each data contact. The excel file include a table with columns for: “Credit Number”, “Credit Title”, “Indicator”, “Reporting Field”, “Unit” (if applicable), “Response from previous submission”, “Response Type”, and “Current Response”. A link to the specific credit technical manual was also included in the table.  
  4. Data contacts were emailed as soon as possible. The email included following information:  

    A succinct explanation of Concordia’s participation in STARS and what STARS is. Explained the role of a “responsible party”/data contact and make clear that the person and/or their team has been identified as such. Highlighted which credit, indicator and reporting field they have been assigned. Highlighted the timeframe from which the reported information must be drawn (i.e. one indicator requires data from the last 3 years, another may require data from the most recent academic year). Emphasized the deadline for submitting the data. Outlined what documents and files are attached to the email and their purpose. Outlined that they are to confirm their responsibility or otherwise suggest an alternative data contact. Finally, attached the data worksheet, credit-specific technical manual and any extra resources provided by AASHE that are credit-specific (i.e. worksheet of certifications). 

  5. Once data contacts started responding, meetings were booked whenever necessary to clarify AASHE's requirements under STARS 3.0. Some credits had to be reassigned when the initially identified data contact declined responsibility. 
  6. A reminder email was sent out about 4-6 weeks after the first email to remind data contacts of the due date to submit their data.
  7. As data contacts start submitting their completed worksheets, the STARS Coordinator would populate the Reporting Tool on the AASHE website and ensure that the data was meeting AASHE's requirements under STARS 3.0.

Description of the internal data quality controls used in the preparation of this report:
  1. Meetings were scheduled with most if not all the data contacts to ensure that they each understood the AASHE's requirements. 
  2. Data contacts would share data collection process and methodology with STARS Coordinator for approval, as well as shared raw data with the filled out data worksheet for STARS Coordinator to check. 
  3. When data contacts dd not have clear information or did not have the data available, instead of false assumptions or conclusions being drawn, the credit was simply marked as "Not pursuing" to ensure credibility and transparency.
