Description of the methodology used to assess the institution’s bid solicitations:

A sample of 20 RFPs from the past three years representing a wide variety of departments and types of purchases was selected. The RFPs were reviewed through keyword searches to identify sustainability language that was included and then further reviewed to confirm the criteria were met. 

For example, a regalia RFP included the following required category and specifically listed sustainability practices in the evaluation criteria:

Sustainability Practices:
Please provide information of the company’s sustainability practices and commitments including the 
following information, if possible: 
a. Information about the sustainability of materials used (i.e., percent post-consumer 
and/or pre-consumer recycled materials used, percent renewable materials used, etc.)
b. Sustainability programs used in manufacturing, packaging, and shipping, as well as any 
recycling or reuse programs. 
c. Include a recent sustainability report (if available).
d. Information if gowns can be packaged in something other than single-use plastic.

The sustainability office reached out to the individuals responsible for the reviewed RFPs that included sustainability and asked for the weight given to sustainability in the decision making process. The RFPs that did not include sustainability were assigned a 0% and an average across the 20 RFPs was taken.

Description of the methodology used to assess the institution’s contract spend with social impact suppliers:

American University's Procurement and Contracts Office generated a report from Workday, with data from January 2024 through the end of June 2024. The report shows all the payments AU made to different vendors. AU tracks supplier classifications and the Procurement Office filtered for social impact suppliers based on the supplier definitions provided by AASHE.
